The Brooklyn Center Community Schools (BCCS) District is seeking applicants to join our Brooklyn Center Community Schools team as the Community Engagement Specialist, located in the Community Engagement Department. We are seeking a Program secretary to provide support to students, families, and the CE department.

Job summary:

This position performs intermediate administrative work to support community engagement programs and staff as well as community members and families. The position is responsible for administrative work that includes preparing and maintaining data, records, reports, calendars, invoices, and more. The Community Engagement Specialist works with several platforms and databases to enhance the operation of the Community Engagement Department and its programs. Work is performed under the moderate supervision of the Director of Community Engagement and the task supervision of the Community Schools Manager and Community Education Manager.

Essential Duties and Responsibilities:

Essential duties and responsibilities may include, but are not limited to, the following:

  • Supports the overall organization and functionality of the Community Engagement Department.
  • Provides program information and assistance to employees, families, and the public.
  • Collects, enters, and maintains a variety of datasets related to department programs and participants, including but not limited to enrollment and attendance.
  • Supports district  facilities reservation and rental process and procedures.
  • Supports the department with grant management and meeting state requirements by tracking tasks and deadlines, compiling reports, etc.
  • Handles all information in a confidential manner.
  • Manages billing, invoices, payments, bill pay records, etc. for various programs, which includes communicating with registrants and participants
  • Supports Community Engagement program registration and enrollments by managing information on systems, maintaining rosters and schedules, and communications.
  • Maintains  community engagement reports and data.  
  • Makes copies, manages office supplies, inventory and equipment; performs light maintenance on copy machines as needed. Makes service calls for servicing copy machines. 
  • Opens, sorts and distributes interschool mail.
  • Completes administrative duties that support department hiring and staffing.
  • Ensures new Community Engagement team members are set up with technology, badges, keys, training, etc.
  • Maintains program participant information and emergency information, verifies for accuracy; provides to staff as needed.
  • Assists with Community Engagement Special events, team meetings and ordering.
  • Prepares, processes and distributes  various records, information and reports.
  • Assists Community Engagement team in preparation of information as needed. 
  • Supports Student Transportation Communication as needed.
  • Maintains files, information and records, paper and electronic.
  • Supports data collection for continuous department quality improvement efforts.
  • Takes meeting minutes.
  • Support Docusign process as needed including creation, sending and tracking completion.
  • Other duties as assigned.

Qualifications and Requirements:

  • HS Diploma or GED
  • Moderate experience working in a school district or administrative office
  • Experince with Synergy, Eleyo, or similar student infomration systems is preferred.
  • Previous experience working with diverse populations and urban school settings is preferred.
  • General knowledge of standard office practices, procedures, and equipment
  • General knowledge of business English, spelling, and arithmetic
  • General knowledge of school system routine, banking procedures, and financial record keeping
  • General knowledge of basic first aid practices

Pay and Benefits: $20.82- $25.54/hour
Duty Days: 240 Days, Full Time
