Adult Education Specialist, .79 FTE

Job Summary:
The Adult Education Program Specialist services as a professional, secretarial and clerical support and coordination of day-to-day operations of Adult Education (AE), General Education Diploma (GED) and Pearson Vue programs and testing.
 

  • Adult Education and Teacher Support:
    • Provide support on student scheduling, class placements, adult education program guidelines, and ongoing training for the Student Information Database (SiD)
    • Primary point person for teachers within the program for student orientation, maintenance of attendance, reporting gains, and maintaining accurate records for state and federal reporting.
    • Teacher point of contact for program needs, specifically in curriculum and supply needs, including ordering and maintaining supplies within budget per the approval of the Director of Adult Learning
    • Provide clerical support, which may include but not limited to: correspondence/flier distribution; data entry, filing, creating spreadsheets using Excel, photocopying, collating, word processing, faxing, creating forms, ordering, organizing, answering the phone, taking messages, copy/mail documents to other Districts/agencies upon request and release, email communication, and mailing. 
  • Student Referrals and Enrollment:
    •  Consults and interviews students and families to determine program eligibility.
    • Primary point person for students and staff, including: greeting new and potential students, scheduling intakes and registrations, and providing positive and friendly customer service in person and over the phone.  Remains cheerful, calm, and professional in all situations.
    • Maintain confidentiality and equitable treatment for students and staff from diverse backgrounds.
    • Handles requests for information from staff, students, outside agencies, and the community regarding academic programs. Researches and resolves issues, complaints, and related problems, escalating to the Director when necessary. Provides information to students as needed.
  • Data Management:
    • Process registrations, track teacher professional development,  and maintain other required data in the SiD database for the Adult Basic Education (ABE) Program.
    • Ensure compliance with state and federal regulations regarding testing, attendance, and data reporting.
    • Monitor student test scores and track educational progress, addressing non-progressing students as per policy. 
    • Verify teachers are entering student attendance monthly. Perform check and balance assessment to ensure data is up to date; input student test scores as testing occurs; track non-progressing students and notify teachers in accordance with state policy.
  • GED Support:
    • Conduct information sessions with students and parents regarding the GED process, and respond to inquiries from guidance counselors.
    • Prepare certificates for students achieving level gains or GED graduation.
  • Outreach and Marketing:
    • Support collaboration with Career and Technical Education to create opportunities for Adult Education students.
    • Manage Pearson VUE Testing Center operations, including scheduling, creating test lists,  and volunteer coordination, and training and orientation of volunteers. 
    • Update program information on the Literacy Minnesota website and distribute promotional materials in the community. 
    • Point of contact for: Scott and Carver Counties health and human services, CareerForce centers, transit, courts/probation, Literacy Minnesota, CAP Agency, Youth Programs, High school guidance counselors, and Community and technical college admissions.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent, some college preferred.  Associate's degree in a job-related area preferred and three years of experience working with students in an educational setting who are at-risk, ethnically and culturally diverse.  Experience performing the duties of the job may substitute for the Associate's degree on a year-for-year basis. General clerical skills that include working knowledge of Excel, and Word.  Prompt, regular, and reliable attendance.
  • Knowledge of:
    • Adult education policies and procedures related to admissions, registration, testing, and placement;
    • Assessment methodologies, including the interpretation and application of [specific test] results;
    • Relevant local, state, and federal laws and regulations;
    • Needs assessment and learning outcomes assessment processes;
    • CASAS and TABE assessments, with the ability to train others on their use.
  • Skills in:
    • Strong customer service, both in-person and via phone;
    • Project coordination and independent problem-solving;
    • Designing and delivering program-specific training and public presentations;
    • Interpreting and analyzing CASAS or TABE data to assess student progress, persistence, retention, completion, and transition.
  • Ability to:
    • Work independently, prioritize multiple tasks, and adapt to changing needs.
    • Exceptional organizational skills with keen attention to detail and the capacity to multitask.
    • Proficient in utilizing computer technology and operating various office equipment.
    • Engage effectively with adult learners from diverse ethnic and cultural backgrounds.
    • Maintain composure in challenging situations and provide practical solutions.
    • Communicate effectively in both oral and written forms, adhering to program standards.
    • Organize and manage detailed information regarding the program and student progress.
    • Evaluate, update, and revise program materials as needed.
    • Identify student needs and connect them with appropriate resources.
    • Foster positive and responsive communication with students, staff, and supervisors to enhance effective relationships.
    • Demonstrate a commitment to diversity in all interactions and job functions.
    • Maintain strict confidentiality in working with records and confidential information.
