SUMMARY OF RESPONSIBILITIES 

 

Under the direction of the Assistant Director of Business Services, the Student Data Coordinator is responsible for the district-wide coordination, compilation, preparation, and accurate submission of student data for state reporting (MARSS/EDFI). This position is vital in upholding the district’s commitment to student success. By ensuring that student data is accurately and efficiently reported, the MARSS Coordinator supports informed decision-making and resource allocation and supports the district’s mission to foster an inclusive and equitable educational environment by providing accurate enrollment and census data, critical for addressing disparities and supporting targeted interventions. The MARSS Coordinator will also provide leadership, training, and support to district staff who interface with the student data system and provide student enrollment data and census information as requested. In addition, the Student Data Coordinator will collaborate with the Business Office, the Enrollment Center, and Student Support Services as necessary to complete tuition billing and coordinate data and financial flow to non-public schools. 

 

DUTIES AND RESPONSIBILITIES

  • Coordinate the compilation, preparation, and accurate submission of student data for state reporting (MARSS/EDFI) in a timely and accurate manner.
  • Coordinate the district’s transition from the MARSS student reporting system to EDFI.
  • Monitor annual student data reporting to MDE; meet deadlines and coordinate in-district data collection, including transportation, special education, and pre-school screening.
  • Ensure necessary changes to school calendars for state reporting purposes.
  • Provide leadership, training, and support to district staff who interface with the student data system.
  • Document processes and create resources to use in training and support of staff.
  • Coordinate data collection and calculations related to accurate and timely tuition billing.
  • Coordinate communication, data collection, and reporting necessary to pass state funds to in-district non-public schools.
  • Advise district staff on procedure changes and deadlines relating to MDE student data submissions.
  • Complete public record requests and adhere to the Minnesota State Statute on what information can be shared.
  • Support the district in the completion of data requests.
  • Collaborate with the database specialist to coordinate needs within the student information system.
  • Provide student enrollment data and census information to site principals, the Director of Business Services, the Superintendent, and others as necessary.
  • Create and maintain a record-keeping system to monitor and track district-wide enrollment.
  • Coordinate and provide leadership to maintain a district-wide census system by obtaining essential information.  
  • Maintain enrollment and student data retrieval system to meet the needs of district leadership and instructional data needs.
  • Performs other related duties as needed.

KNOWLEDGE, SKILLS & ABILITIES 

  • Data analysis techniques, relational database principles, and procedures are used in extracting, summarizing, and compiling student data and information.
  • Understanding of enrollment processes and procedures.
  • Data privacy and data security requirements, procedures, and practices.
  • MDE student reporting requirements, rules, guidelines, and needs.
  • Fundamentals of customized software, applications, and productivity software utilized by the District, state, or vendors.
  • Establishing and maintaining effective working relationships with employees, supervisors, department heads, and District administrators. 
  • Applying and using relational databases, spreadsheets, or other applications in merging, compiling, and summarizing data in reports/tables/charts/graphs.
  • Planning, prioritizing, and organizing tasks and functions.
  • Performing work assignments and responsibilities independently with minimal supervision.
  • Monitoring, verifying, and compiling student data and submission of MDE student data.
  • Performing various tasks that require attention to detail, precision, and accuracy (e.g., data collection, verification, and data entry).

WORK ENVIRONMENT 

  • Duties are generally performed in a typical school District office setting where there are minimal environmental hazards and risks associated with the performance of assigned responsibilities and tasks.

EDUCATION and/or EXPERIENCE 

  • Bachelor’s in Computer Science, Accounting, Business Administration, Office Management, or related area.
  • Minimum of three (3) years experience in student data reporting, database maintenance, student information, or accounting. 
  • Experience with Microsoft Excel, Google Sheets, or other data management tools.
  • Knowledge of MARSS and Edfi is a plus.
  • Human Resources has the discretion to substitute education for related experience.
