Hutchinson Public Schools is seeking a Special Education/Early Learning Lead Administrative Assistant to join our team for the 2024-2025 school year and beyond. 

The Special Education/Early Learning Lead Administrative Assistant will provide administrative support to the Special Education and Early Learning teams to ensure accuracy and compliance. This position will work 8 hours per day, 220 days per year. The salary range for this position is $21.04 per hour – $24.04 per hour. Salary is dependent upon education and experience.

Responsibilities Include: 

  • Special Education (SpEd):
    • Review Individualized Education Programs (IEP), Evaluation Reports (ER), and supporting documents (Prior Written Notices (PWN), IEP Amendments, Summary of Performance (SOP), Progress Reports).
    • Ensure all paperwork is complete: federal settings, dates, signatures, and required written input.
    • Verify the correctness of amendments and finalized documents in SpEd Forms history.
    • Compare the evaluation plan with the evaluation report to ensure all assessments are addressed.
    • Notify case managers of past due and upcoming deadlines to ensure compliance with timelines.
  • Early Learning:
    • Prepare/Assemble folders and folder labels. 
    • Obtain Early Childhood screening day lists from Sign Up Genius. 
    • Print registration forms and paperwork.
    • Collaborate on brochures 2-3 months before each Early Childhood Family Education (ECFE) session.
    • Prepare and update forms, calendars, handbooks and class lists.
    • Manage busing logistics.
    • Conduct outreach to families.
    • Generate tuition invoices.
  • Special Education and Early Learning:
    • Inactivate students who have been discontinued or moved to ensure accurate caseloads and data reporting.
    • Update spreadsheets for inactive students and verify Minnesota Automated Reporting Student System (MARSS) data accuracy.
    • Track and order all testing protocols, preparing pre-approval forms and requisitions as needed.
    • Organize and maintain confidential SpEd files for both active and inactive students.
    • Set up new referrals in Campus/SpEd Forms.
    • Create and maintain a Birth-12 spreadsheet to track IEPs and ER due dates; update as needed for new students or completed paperwork and share with SpEd administration.
    • Manage student transfers to new case managers upon requests from SpEd administration or other school districts

Required Qualifications:

  • High School Diploma or GED
  • Highly organized and detail-oriented.
  • Proficient in Google Drive, Docs, and Microsoft programs including Excel.
  • Ability to work independently and prioritize tasks
