Summary

This position is to provide secretarial and clerical support for the Special Education department at the school site. This position will assist the Special Education Coordinator with administrative details and will perform other general office duties as assigned.

Responsibilities/Duties:

  • Schedule IEPs and evaluation meetings.

  • Upload IEPs and related information into SPED forms.

  • Organize daily transportation routes, communication, etc.

  • Maintain staff calling trees and voicemails through Marco.

  • Transfer SPED records to all appropriate agencies (Bluestem, Prairie Care, etc).

  • Assign subs for licensed and non-licensed staff daily due to PTO schedule.

  • Maintain all SPED paper files in a concise and accurate manner that meets compliance with the State of MN.

  • Support program staff.

  • Be available to answer to stakeholders on inclement weather days (WILD Days).

  • Knowledgeable of all office equipment.

  • Knowledgeable about all district policy.

  • Assists with organizing of records, maintaining of Special Education student folders, and other permanent records assigned and while protecting confidentiality of student records and information. 

  • Schedules students for testing and assessment appointments. 

  • Provides support in Special Education enrollment and identification.

  • Participate in department and program training and meetings.

  • Facilitates successful monitoring and completion of compliance checklists of IEPs as meetings occur.

Minimum Qualifications:  

  • High School Diploma or equivalent  

  • Clerical/Office experience  

  • Knowledge of Microsoft Office Programs  

  • Knowledge of SPED Forms

  • Knowledge of Special Education timelines in compliance with MDE.

  • Ability to organize tasks and complete within desired deadline  
  • Attention to detail
