Description

A civil service eligible list will be created from this posting and remain in use for Receptionist vacancies throughout the district that occur in this title for a year from the date the eligible list is established.  Eligible candidates will be notified of the testing date via e-mail after applicants have been screened for minimum qualifications.

Performs skilled receptionist and intermediate level clerical work.

Supervision Received and Exercised

Works under the moderate supervision of a department head or unit supervisor.

  • High school diploma or GED certificate 
  • Two years of experience as a receptionist for a large organization which includes performing intermediate level clerical duties. 
  • Must be able to type and operate a keyboard at a minimum of 45 words per minute.

The essential job functions include, but are not limited to, the following fundamental duties:

Administration

  • Accurately and knowledgeably responds to general questions in person and on the phone about the school district using a working knowledge of the structure and operation of the organization or seeks staff in a timely manner who are able to respond with accurate information.
  • Answers switchboard and receives visitors; determines nature of business and directs individuals to the appropriate staff; locates employee and department telephone numbers using a computer directory; directs meeting participants to appropriate locations using a published room schedule.
  • Assists visitors with the sign-in and sign-out procedure with visitor badges and explains security procedures in the building when necessary.
  • Directs visitors to the appropriate office and calls ahead when appropriate to the visitor¿s destination to let the office know a visitor will be arriving; directs visitors attending meetings to the appropriate locations using a published room schedule.
  • Keeps the lobby and front desk orderly and clutter free.
  • Updates the computer directory as necessary; updates and prints meeting room schedules to be posted near the main reception desk.
  • Maintains audio visual cart requests from meeting room organizers (new)
  • Accepts and signs for certified and express mail and related deliveries; logs delivery information; contacts departments to pick up item(s) and has department representative sign for item(s) when picked up; reports any suspicious packages to the proper administrators or authorities.
  • Prepares, word processes and/or types letters, memos, reports, schedules, lists and related documentation according to well-established guidelines and procedures.
  • Efficiently operates a computer to assist with word processing; assists with computer data entry, file maintenance and information gathering and/or retrieval; when necessary assists with district wide mailings, assembly of packets and distribution of materials; assists with receiving RSVP calls.

Knowledge, Skills and Abilities

  • Working knowledge of modern office practices and procedures.
  • Working knowledge of the policies, procedures and services of the organization.
  • Working knowledge of word processing and data base software.
  • Working skill in performing word processing, typing and/or data entry accurately.
  • Considerable skill to interact effectively with parents, community organizations, the general public, and employees in all units of the organization.
  • Working ability to communicate effectively in person and/or over the telephone.

This is a 12 month position working 40 hours per week.

Salary and benefits are in accordance with the AFSCME negotiated labor agreement. The labor agreement and salary schedule can be found at https://www.spps.org/Page/33566. The minimum rate of pay for this position is $17.83 per hour.
