Lakeville area schools has a full time Onsite Facility Specialist position open.
POSITION SUMMARY:
Under the direction of the Facility Use & Systems Manager, this role is responsible to be the primary on-site point of contact representing the District as a liaison for facility use and facility use supervisors, according to District policies, procedures and guidelines. This role acts as a communicator for all facility activities, events, concerns or issues. This role is pivotal as a specialist who is knowledgeable not only in onsite operation needs, but also in building positive partnerships with District leadership and community partners onsite during events. This position will also assist with the logistical scheduling of high volume user groups in partnership with the District Facility Use Team.
Hours for this role are evenings and weekends during the school year and may include day shifts during the summer months.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serves as the initial Facility Use point of contact outside of school day and extended school day hours for facility use.
- Coordinates facility use supervisor schedules in cooperation with the Facility Use & Systems Manager and District Auditorium & Special Events Coordinator.
- Provides point of contact and supports for after hours customer needs on the Facility Use Phone line/s.
- Provides customer service to all users in the facility and on the grounds. Is a positive role model for respectful behavior and problem solving strategies. Oversees and directs Facility Use Supervisors on proper procedures and steps in addressing this type of situation.
- Be visible and present for facility and grounds users as the primary point of contact. Oversees and directs Facility Use Supervisors on proper procedures and steps in addressing this type of situation.
- Assist and collaborate with each member of the Facilities Use team and other District staff on the logistical scheduling of high volume facility user groups and ensures that on-site staff are aware of all logistical needs on site, in real time, and in preparation of functions. Reviews all planning items to ensure that needed communications are relayed in partnership with the District Facility Use Team.
- Under the direction of the Facility Use & Systems Manager, is part of the hiring, developing, and training process steps for casual Facility Use Team members including Facility Use Supervisors, Stadium Supervisors, and Pool Tech Supervisors.
- Opens and closes classrooms/gyms, fine arts facilities, district fields, and other spaces as scheduled. Oversees and directs casual Facility Use Team members on proper procedures and steps in addressing needs outside of classroom time throughout the district buildings and grounds for staff, students, and non-districts sponsored user groups.
- Monitors daily activities ensuring that facility users are following District policies, procedures and guidelines as well as any County, State, and/or Federal Guidance.
- Monitors facilities and grounds use by conducting walk-throughs and positively connecting with user groups. Oversees and develops casual facility use staff on proper procedures and steps in addressing user group use, engagement and event needs daily.
- Supports District policy and rules regarding facility use including addressing behavior of minors with adults responsible for user groups. Oversees and directs Facility Use Supervisors on proper procedures and steps in addressing this type of situation.
- Asks unauthorized or unsupervised people to leave the building and oversees and directs casual Facility Use Team members on proper procedures and steps in addressing this type of situation. Collaborates with all building staff under the direction of the Facility Use & Systems Manager on proper safety and operational procedures to ensure that the liabilities of the District are addressed while being the primary lead staff person for the overall District community use hours.
- Completes necessary paperwork including daily logs, safety and security reports, including overseeing reporting needs of facility use to the Facility Use & Systems Manager on buildings and grounds daily activity observed and supported by Facility Use Team.
- Submits reports, job descriptions, and general staffing processes in a timely manner and in collaboration and under direction from the Facility Use & Systems Manager.
- Demonstrates knowledge of safety and emergency procedures for the facility and/or grounds of assignment, including building evacuation plans and effectively communicates them to Facility Use Supervisors, support departments, and partners with all user groups in times of need.
- Ability and willingness to learn, understand, and follow documented work procedures.
- Attends staff meetings as needed and helps develop training items for staff meetings.
- Demonstrates prompt, regular and reliable attendance.
- Other duties as assigned.
REQUIRED QUALIFICATIONS:
- High School Diploma/GED required
- Proficient computer and technology skills required in Google apps, Excel, Word.
- Strong interpersonal skills with a high focus on customer service.
- Strong organizational and time management skills
- Maintain professionalism at all times
- Ability to work accurately, independently and as a team member.
- Able to take initiative and problem solve within the guidance provided by the Facility Use Team.
- Strong verbal and written communication skills
