Math and Science Academy is hiring for an Office Coordinator for our Building B office. The Office Coordinator is responsible for staff and student office support, and assisting the Administration team with Athletics and Activities support. This position has direct contact with students and families on a daily basis, and the ideal candidate has a strong passion for working with students and families.

Math and Science Academy is hiring for an Office Coordinator for our Building B office. The
Office Coordinator is responsible for staff and student office support, and assisting the
Administration team with Athletics and Activities support. This position has direct contact with
students and families on a daily basis, and the ideal candidate has a strong passion for working
with students and families.
Required: Associates Degree preferred, or other demonstrated experience.
Reports to the MSA Administration Team
Schedule: This role is a 10.5 month, hourly, full-time position. This position is a 7:30am-4pm
Monday-Friday on student contact days and as needed outside of student contact days. The
position will work August 1st- the second week of June, as determined by the Administration
team. This schedule is subject to change, based on the needs of the school.
Compensation: $18-21 per hour
The duties below are not intended to be a comprehensive listing of all duties and tasks
performed by those holding this type of position.
1. Essential Functions:
● Maintain the office, health room, and copy room by keeping them clean and
organized
○ Maintain an inventory of office and health supplies on hand, and
communicate needs when supply is low

● Serve as a confidential administrative assistant to Administrator in Building B
● Maintain positive interactions with students, staff, and visitors to the school
○ Answer questions and provide direction to in person interactions
○ Take incoming calls through the main phone line and redirect as
appropriate
○ Monitor student sign-in and sign-outs throughout the day for the building
○ Treat all students and families in an equitable manner
● Coordinate and maintain the field trip processes. (Buses, forms, notifications.)
○ Coordinate busing for all academic field trips and activities.
● Compile Daily Announcements by taking requests from staff, students, and
parents, and adding necessary office announcements.
● Send announcements, letters from staff, office announcements, etc. via Skyward
email to parents and students.
● Graduation Coordination

○ Coordinate the graduation ceremony. Work with vendors to set up
ordering of cap and gowns for graduates, diplomas and covers,
coordinate senior meeting and cap and gown photos, print programs for
the ceremony, and support office needs for the (volunteer run) Lock-In
Parent Committee.
○ Communicate with the High School Counselor to ensure graduates are
properly identified.

● Serves as a backup for when Building A Office Coordinator is absent
○ Checks daily attendance line
○ Enters and maintains attendance records for the day
● Picture day coordinator
○ Coordinate with the vendor for Picture Day at MSA along with Picture
Retake Day and Sports and Activities Photos for each season.

● Substitute teacher coordinator
○ Provide sub keys and orientate substitute teachers to the building
○ Schedule emergency substitute teachers from internal and external
sources
○ Serves as first point of contact when an emergency substitute is needed
for coordination

● Assist lunchroom monitor with any needs.
● Assist with bulk mailing during the school year, and other clerical duties as
assigned
● Distribute keys and fobs to staff as needed. Keep an accurate log of disbursed or
returned keys
● Coordinate with IT Contractor to program fobs prior to distribution
● Participate in and assist with the execution of crisis management teams (fire and
lock-down drills)
● Athletics and Activities:
○ Serve as a confidential administrative assistant to Activities Director
○ Maintain the “rSchool” online activities calendar
○ Maintain the Activities page on the school website
○ Maintain records of student forms
○ Assist families with the registration process
○ Order buses for sporting events and trainers

2. Additional functions:
● Demonstrate preparation and skill in working with students from diverse cultural,
economic, and ability backgrounds.
● Attend and participate in staff meetings as available and weekly office meetings
● Obtain information for parents when requested
● Promptly return phone calls and respond to emails
● Participate in appropriate professional development activities
● Monitor hallways before school, between class periods, and after school
● Other duties as assigned

● Associates degree from an accredited institution or proven experience in functioning in a
busy environment with multiple interruptions
● Proficiency with Google Suite, Excel, and other programs is essential to be successful in
this role

● Must have the ability and proven ability to report to work on a regular and punctual basis.

Physical Job Requirements:
Physical requirements associated with the position can be best summarized as follows:
● Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning
devices and other office equipment, reach with hands and arms, and must occasionally
lift and/or move up to 15 pounds.
● Duties are performed in a typical school setting. There are minimal environmental
hazards and risks associated with the nature of the work.
