Job Responsibilities:
- Performs receptionist/clerical duties including greeting visitors, answering multiple incoming phone lines, providing customer service, distributing mail, office organization, ordering supplies, etc.
- Supports the Principal and Assistant Principal, as needed.
- Maintains school records and files while observing data privacy requirements.
- Coordinates the building’s ordering and distribution of supplies. Oversees inventories and storage of supplies. Coordinates purchase orders and all capital purchases. Maintains all equipment and leases.
- Works closely with the building principal in coordinating and monitoring the building budget, assigning budget codes, making deposits, transferring charges, and dispersing/maintaining the building petty cash fund.
- Collaborates with the building principal to create the weekly staff newsletter.
- Coordinates and maintains student lockers.
- Assist administration with coordination of MCA testing.
- Plans and coordinates Parent/Teacher conferences, including set-up in Skyward.
- Assigns and supervises parent volunteers, when needed.
- Serves as back-up clerical support for other clerical employees in the building.
Qualifications:
- Must have a comfort level to perform school announcements, emergency procedures and communications via PA system.
- Evidence of successful work experience using advanced features of Microsoft Office, Google Docs and Sheets.
- Evidence of ability to process documents at a minimum typing rate of 50 wpm.
- Evidence of the ability to prioritize and handle multiple tasks in an office atmosphere of constant interruption.
- Evidence of the ability to maintain a good rapport with co-workers and cooperate in providing service.
- Evidence of flexibility is a high priority with the ability to maintain a positive, helpful attitude.
- Evidence of previous successful experience in an office assistant role.
- Evidence of strong office assistant skills and computer competency.Â
- Evidence of the ability to operate and maintain office equipment.
- Evidence of ability to maintain confidentiality of school-related information.
- Evidence of a pleasant telephone manner and excellent human relations skills.
- Evidence of excellent organizational and record-keeping skills.
- Evidence of attention to detail and the ability to meet deadlines.
- Evidence of the ability to work with a minimum of supervision.
- Strong communication skills and interpersonal skills as applied to interaction with coworkers, supervisors, the general public, etc. sufficient to exchange or convey information and to receive work direction.
- Evidence of strong organizational, communication, customer service and human relations skills.
