Innovation, Design & Learning-Information Services Office Clerk
SUMMARY:
This position is made available due to department reductions and restructuring.Â
Performs basic clerical/administrative accounting duties for Innovation, Design & Learning and Information Services; reviews and enters data, processes transactions, and provides customer services.Â

ESSENTIAL FUNCTIONS:

- Supports department leadership with scheduling, calendar management, meeting coordination, and other administrative tasks
- Supports coordination with non-public schools in relation to federal Title grants including compliance, meetings, and ordering materials according to state and federal guidelines.
- Processes basic accounting transactions; performs duties within scope of authority and training, in compliance with policies and quality standards.
- Reviews source documents for compliance with rules and regulations; determines proper handling of accounting and technical transactions within designated limits; validates data.
- Checks documents for validity and accuracy; performs calculations, files and distributes paperwork, and reports discrepancies.
- Maintains accounting and bookkeeping records; enters data into district-wide systems, processes transactions, and updates accounts.
- Provides customer service; responds to requests for basic account information, and updates or releases information according to procedures.
- Contributes to team efficiency by offering suggestions and participating as an active member.
- Cross-trains in a wide variety of clerical accounting duties.
- Promotes and supports the mission of the District by demonstrating cooperative behavior and fostering a harmonious workplace environment.
- Performs administrative assistance for a department, including independent decision-making based on experience.
- Oversees administrative workflow; coordinates work using specific knowledge of policies and procedures.
- Exercises initiative in resolving problems; tracks issues and communicates operational information effectively.
- Supports updates to internal and external websites.
- Maintains personnel and administrative files; supports budgeting under the supervision of the department’s procurement personnel, processes invoices, purchase requests, contracts, and hiring processes.
- Completes and coordinates special projects as assigned by the department directors, department members, and department’s procurement personnel,Â
- Orders department supplies and equipment; tracks maintenance and purchasing issues.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience:
- High School Diploma or GED Equivalent.
- Four (4) years of secretarial or administrative experience.
- OR an equivalent combination of education, training and experience.Â

Required Certificates, Licenses, and Registrations:
Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.
- Driver’s license.

Required Knowledge and Skills
Required Knowledge:
- District policies and procedures.
- Basic principles of accounting and bookkeeping.
- Applicable policies, procedures and regulations covering specific areas of assignment.
- Basic principles of record keeping and records management.
- Standard office practices and procedures, including filing and the operation of standard office equipment; record keeping principles and practices.
- Computer applications related to the work.
- Correct business English, including spelling, grammar and punctuation.

WORKING ENVIRONMENT:
Work is performed in an office setting.
Travel required to locations throughout the District.

FTE: 1.0, 8hrs daily, 40 hours per week; 261 days.
Salary: Per the Clerical Agreement; C-5 $20.50 – $26.74
