CLASSIFICATION:  ROPE; C-4-2

SALARY:  $62,916 – $75,501  (Prorated based on start date.)

Job Description: 
The Grants Coordinator for Rochester Public Schools plays a pivotal role in securing funding opportunities to support various programs, initiatives, and projects within the school district. The Grants Coordinator is responsible for researching, preparing, submitting, and managing grant proposals/reports that support change initiatives of the district and meet funder guidelines and criteria. This will be responsible for identifying grant opportunities, developing compelling proposals, tracking deadlines, submitting reports, and ensuring compliance with grant requirements to maximize funding impact. This position requires strong writing, data analysis, program budgeting, and project management skills.

Key Responsibilities:

1. Grant Identification and Research:

  • Conduct thorough research to identify potential grant opportunities from government agencies, foundations, corporations, and other funding sources.
  • Evaluate grant guidelines, eligibility criteria, and deadlines to determine alignment with the school district’s strategic priorities.

2. Grant Proposal Development:

  • Collaborate with engaged parties, including school administrators, teachers, and department heads, to develop compelling grant proposals.
  • Write clear, concise, and persuasive grant narratives that effectively communicate the school district’s needs, goals, and intended outcomes in collaboration with a team
  • Ensure grant proposals are submitted in accordance with application guidelines and deadlines.
  • Researching statistics, trends and data for grant proposals and community advocacy

3. Grant Management:

  • Oversee the implementation of funded grants, including budget management, programmatic activities, and reporting requirements.
  • Establish and maintain systems to track grant expenditures, deliverables, and outcomes.
  • Coordinate with relevant staff members to ensure compliance with grant terms and conditions.
  • Submitting grant applications via paper or online portals, and maintain list of passwords;  
  • Maintaining master calendar of grants and prospects and all associated files and correspondence; 
  • Preparing board items for acceptance of grants by the school board
  • Tracking progress toward organizational and programmatic outcomes and goals;  
  • Assembling all necessary supporting materials and documents including budget reports, outcome measurements, success stories, etc.
  • Submit reports to funders and investors 

4. Stakeholder Engagement:

  • Cultivate and maintain relationships with funding agencies, donors, and community partners to enhance grant opportunities and support ongoing collaboration
  • Serve as a liaison between the school district and external stakeholders, providing updates on grant-funded initiatives and outcomes

5. Capacity Building:

  • Provide guidance, training, and support to school staff members involved in grant-related activities, including grant writing, budgeting, and reporting
  • Stay informed about best practices, trends, and developments in grant funding and grant management

Job Requirements

  • Bachelor’s degree in a relevant field (e.g., Education, Nonprofit Management, Public Administration).
  • Demonstrated analytical and persuasive writing skills experience as well as superior editing skills, including ability to convey complex information in a clear manner to a diverse audience;  
  • Strong administrative skills and self-motivated with the ability to set priorities and manage multiple tasks under minimal supervision in effective and efficient manner;  
  • Intermediate to expert skills in Google Suite, Adobe Acrobat and Microsoft Office
  • Familiarity and experience working with national, governmental and local funders preferred
  • Ability to work under pressure and respond to deadlines without sacrificing quality
  • Demonstrated interest in the mission and vision of Rochester Public Schools
