Austin Public Schools is hiring a Fiscal Support Administrative Assistant. 

This Fiscal Support Administrative Assistant is a Full time, 8 hours per day, 12 months per year – Level IV position.

The Fiscal Support Administrative Assistant is responsible for performing administrative support activities requiring thorough knowledge and understanding of rules, regulations and policies in the area of this assignment in order to provide support of District Finance.

Job Duties for this position:

  • Process invoices for payment.  Work with vendors and internal staff on researching and resolving issues. 
  • Issue checks to vendors, create Board packet, and mail payments upon Board approval.
    • Send online files for payments to be processed by credit card.  Manage online site; resolve discrepancies and update vendor information as needed.
  • Print and mail purchase orders daily.
  • Follow up with staff and vendors on missing paperwork in order to keep payments processing on time.
  • Scanning of payable documents into storage.
  • Collect documentation an pocess district credit card payments into the finance system.
  • Train new staff on entering requisitions and provide ongoing support.
  • Create monthly reminders to be e-mailed to the requisition entry group to remind them of internal controls and other topics related to the Accounts Payable processes. 
  • Entry of fixed assets.
  • Collect W9 information throughout the year to process 1099’s at calendar year end. 
  • Assist with annual audit.
  • Assists Business Office Staff
  • Other duties as assigned.  

Knowledge of:

  • General principles and practices of accounting.
  • General governmental fund accounting practices.
  • Financial software including proficiency in excel.
  • Principles and practices of bookkeeping.
