The High School Activities Event Coordinator is responsible for the efficient organization, management, and execution of events and activities. This role ensures that all aspects of event coordination, including scheduling, transportation, staffing, and compliance with district and league policies, are handled effectively. The Coordinator will also provide support within the Activities Office, contributing to the overall success of the department.

Event Coordination:

  • Develop, maintain, and distribute updated schedules for all athletic and extracurricular activities.
  • Coordinate logistics for home and away events, including transportation, officials, and game day staff.
  • Secure game day workers, such as ticket takers, announcers, and scoreboard operators, ensuring all roles are filled.
  • Act as the on-site supervisor for events as needed, ensuring smooth operations and addressing issues that arise.

Officials and Compliance:

  • Schedule and confirm officials for games, ensuring alignment with league requirements.
  • Maintain records of official payments and coordinate with the business office for timely processing.

Administrative Support:

  • Assist with creating and distributing event promotions and schedules to staff, students, and community members.
  • Update and maintain online resources, including event schedules, cancellations, and announcements.
  • Manage and oversee facility scheduling for practices and events, ensuring no conflicts arise.

Student and Community Engagement:

  • Collaborate with student groups to support activities like pep rallies, assemblies, and special events.
  • Assist with planning and execution of annual award ceremonies and recognition events.
  • Serve as a resource for students and parents regarding schedules, transportation, and event information.

Job Description:

  • 0.5 FTE
  • Assist students, staff, and the general public
  • Enrollment: Responsible for all enrollments. Determines transportation needs and maintains a list. Maintains all student cumulative folders and permanent records.
  • Attendance: Responsible for students’ attendance records.

Qualifications:

  • Education: High school diploma required; Associate’s or Bachelor’s degree in sports management, event planning, or related field preferred.
  • Experience: Prior experience in event coordination, athletics, or office administration is preferred.
  • Skills:
    • Strong organizational and multitasking skills.
    • Excellent communication and interpersonal abilities.
    • Proficiency in using scheduling software and Microsoft Office Suite.
    • Ability to problem-solve under pressure and adapt to changing circumstances.
    • Ability to work under busy and changing work environments.

Pay and Benefits Information:

  • $15/hr-$20/hr
  • Earned Sick and Safe Leave (ESST)/Sick Leave
