Administrative Assistant/Receptionist

Description

We are now accepting applications for an Administrative Assistant/Front Office Receptionist (FULL TIME).

JOB PURPOSE:  Perform administrative tasks and office support for the superintendent, principal, business manager, and staff.  Must be people-oriented, self-motivated, able to multitask, a good problem solver, highly organized, confidetial, and remain calm under pressure.  Must complete work in a timely manner to meet deadlines. 

Minimum Qualifications: 

  • 2-year degree

  • Excellent interpersonal and communication skills, with the ability to work effectively with students, staff, parents, and community members

  • Strong organizational skills and attention to detail

  • Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; English grammar/punctuation/spelling/vocabulary; office equipment/software; and office practices

  • Specific ability-based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy

Preferred Qualifications:

  • Experience working in an educational setting

  • Knowledge of MARRS, Infinite Campus (or some other Student Management System), and MDE’s Ed-Fi 

Job Responsibilities: 

  • Greet visitors, answer incoming calls and emails, and direct them to the appropriate staff member or department

  • Manage entrance of visitors and parents

  • Provide general support to school staff and administrators as needed

  • Manage school office inventory, including office supplies, equipment, and materials

  • Perform general administrative tasks, such as photocopying, scanning, filing, and data entry 

  • Receive the mail and inform team members when their delivery packages arrive

  • Help to manage school-wide communication, including school-wide emails, newsletters, and other correspondence 

  • Maintain a clean and organized front office area, ensuring that all materials and resources are readily available and easily accessible

  • Maintains building information (e.g. use schedules, staff directories, emergency contacts, etc.) for the purpose of providing reference information

  • Maintains reception area materials (e.g. job applications, newsletters, event calendars, etc.) for the purpose of providing resource information to visitors

  • Processes a variety of records (e.g. student records, transcripts, tutor lists, guardianship packets, etc.) for the purpose of conveying information within District guidelines and regulations.

  • Reporting of student data into MARRS, ED-Fi, and other MN Department of Education portals

Salary: Beginning wages start at $18.88, depending on experience; other benefits include Medical Insurance, Paid Time Off, and PERA retirement.

210 day contract.  Contracted work hours are 7:30am-3:30pm

Swanville School District #486 is located in Morrison County, with part of the district in Todd County, 15 miles west of Little Falls, 12 miles east of Long Prairie, and 10 miles north of Upsala, Minnesota.  Districts adjacent to the Swanville District are Little Falls Community Schools to the east, Browerville Public Schools to the north, Long Prairie/Grey Eagle Public Schools to the west, and Upsala Area Schools to the south.

Swanville School District #486 operates a single PK-12 School in Swanville, Minnesota, with a full range of services from preschool to 12th grade, including many extra-curricular activities.  High School students are also able to take classes from colleges through interactive television or online.
