SUMMARY:
Perform as the lead administrative assistant to successfully accomplish the job responsibilities associated with the management of a school office.Â
SCHEDULE:
12 months, full time (8 hours/day)
ESSENTIAL FUNCTIONS:
This class specification lists the major duties and requirements of the job and is not all-inclusive. Incumbent(s) may be expected to perform job-related duties other than those contained in this document and may be required to have specific job-related knowledge and skills.
- Maintain all building budget accounts.
- Assist in finding daily substitute teachers, manage absences in the substitute system and greet substitutes at beginning and end of the day.Â
- Assist with annual school opening and closing procedures
- Communicate with parents and public as necessary
- (Elementary) Facilitate kindergarten enrollment
- Coordinate school recognition eventsÂ
- Prepare, send, open, account and distribute purchase order and other supply items
- Type, duplicate, mail, tabulate, distribute, forward and file all notices, records, newsletters and supply orders
- Process all materials assigned by the building principal
- Compose routine correspondence in accordance with the principal
- Maintain a running inventory of all materials and supplies, re-order and accounting for as necessary
- Prepare survey data and reports for district office as requested and form census reports as required
- Assist staff, parents and students as requested by the principal
- Make routine decisions in absence of the building principal and contacts designated administrators as necessary
- (Pine Bend, Middle School, High School) Assist with all Summer Academy and targeted service related duties
- (High School) Maintain school activity accountÂ
- Perform other duties as assigned by the building principal or designee
- Organize and oversee the Staff Calendar and Handbook
- Assist with the “onboarding” of new staff for the building (keys, classroom supplies, changing directories, phone extensions, adding them into information systems)
- Assist with the “offboarding” of staff members. (keys, badge, grades)
- Oversee the building reservations
- Process timesheets
- Create and process CEUs for building staff development meeting lead by our staff and administration
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and Experience:
High School Diploma. Must have 1-2 years for post secondary training.
Three years of clerical experience.
Experience in a school setting and bilingual skills preferred.Â
Required Certificates, Licenses, and Registrations:
Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

Knowledge of word processing, database and spreadsheet office software applicationsÂ

WORKING ENVIRONMENT:
Perform under normal office conditions.
Perform within low to high noise levels with frequent interruptions caused by normal office traffic.
Perform at moderate to high pace for extended periods of time.
Perform with professionalism, proficiency and precision.
Pay and Benefits:
The starting salary for this position is $24.49 per hour. This is a benefit eligible position including medical, dental, and life insurance, paid holidays, sick leave and vacation.
