Schedule:  5 days / week (Monday – Friday), 8 hours / day, 260 Days / Year
Hours: 8:00AM – 4:30PM or As Assigned (hours & break hours may vary)
Pay Schedule: According to Master Agreement, Level III
 
JOB SUMMARY:    
To provide support to the business office and knowledgeable and professional administrative services to staff and community in an efficient, positive, courteous and timely manner so that the overall district educational objectives may be achieved. 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:

75%      Accounts Payable Processing

  • Daily processing of invoices and expense claims, wire transfer processing, and P-Card processing.
  • Import and process data into finance system.
  • Weekly processing of checks and reports and communicating funds to process with business office staff.
  • Following up on outstanding checks.
  • Process homeschool and nonpublic transportation claims
  • Review and process Official Service Agreements.
  • Review and process transportation invoices.

 7%      Payroll Support

  • May assist in timesheet review, calculation, and sorting.
  • May assist in maintaining leave forms.
  • May assist with other general data entry.

 7%      Mail/Photocopying/Communication, etc.

  • May photocopy small jobs as needed or assist in photocopy/printer maintenance.
  • May send/receive faxes/scans.
  • Update staff on IRS regulations.
  • Process postage due and postage meter report.
  • May assist in answering district phone lines.
  • Assist in creating reports for the board of education.

 5%      Vendors and W-9 Compliance

  • Set up and update vendors in payroll system.
  • Maintain and ensure accuracy of W-9s.
  • Provide ST-3s to vendors.
  • 1099 processing and filings.

 4%      Files/Records

  • Manages filing system in accordance with data retention schedule.

 2%      Professional Development

  • Attend meetings and workshops as required.

           
Perform other duties as assigned or requested.
 
WORK REQUIREMENTS AND CHARACTERISTICS:
Education/Certification/Licensure Requirements:                         

  • High School diploma or equivalent.
  • Associates degree preferred.

Experience:                            

  • Previous accounts payable or comparable experience preferred.
  • Previous computer/technology experience required.

  • Knowledge of laws, rules, and regulations related to the program.

  • Ability to handle multiple tasks simultaneously
  • Knowledge of District policies and procedures
  • Ability to provide bookkeeping skills.
  • Ability to organize work.
  • Ability to meet deadlines.

Machines, Tools, Equipment, Electronic Devices and Software Required:

  • Operate multi-line telephone system.
  • Operate computer, printer, photocopy machine, postage meter, fax machine and two-way radios, etc.
  • Proficiency or ability to learn various software applications including diagnose/trouble shoot problems.

Supervision of Other Employees:

  • This position does not supervise other employees.

Physical Job Requirements:

  • Position involves occasional kneeling, reaching or bending.
  • Position involves frequent fingering keys for word processing.
  • Position involves frequent repetitive motion in performing tasks.
  • Position involves occasional lifting up to 30 pounds.
  • Position requires regular periods of sitting at computer.
  • Position involves listening, speaking clearly and visual acuity.

  • Position requires multi-tasking while dealing with constant interruptions.
  • Position requires courteous customer service relations.
  • Position requires need for accuracy.
