POSITION: Lead Administrative Assistant – 10 month
LOCATION:  Early Childhood Special Education
START DATE:  September 16, 2024
HOURS:  8 hours/day – 7:45 am to 3:45 pm
WORK DAYS:  205 days

JOB DESCRIPTION:
Receives and routes incoming communications. 
Prepares documents for the early childhood special education program 
Provides administrative clerical support services. 
Maintains an effective communications retrieval system. 
Receiving, organizing and recording all referral information from Help Me Grow and any other referral sources
Ongoing coordination with Early Childhood Screening Program
Intake phone calls to parents and other providers (i.e childcare/healthcare providers)
Schedule intake visits/observations in coordination with Lead Teacher
Request ASQs and ongoing maintenance of ASQ student reports
Complete and/or request developmental history (phone or in person interviews)
Enter developmental history, upload documents in child study evaluation folders.
Prepare closure letters for families who do not respond to intake attempts
Attend weekly Child Study meetings to present new referrals and provide updates and status of intakes
Complete fax/records requests for SPED students
Maintain and update student data in Campus and SpEd Forms includsing rostering, enrollments, assigning MARSS ID
Mangage and facilitate ordering for ECSE
Daily coordination with Administrative Assistant Lynn Dierks and ad hoc coverage of EC
office duties (monitor phones and door)
Create and revise forms/spreadsheets
Assist with the compilation of data for local and state reports
Assist with finding substitute teachers and paras for last minute emergencies
Set up and monitor special transportation for students
Performs such other tasks consistent with the position as may be assigned.

QUALIFICATIONS:
Post high school training required with business and finance experience preferred. 
Successful experience in an office setting required. 
Demonstrated effective oral and written communications skills. 
Ability to maintain confidentiality in all school dealings. 
Proven success in keyboarding and computer software required. 
Demonstrated ability to effectively work as a positive contributing member of an office team. 
Proven, successful experience working with minimal supervision accompanied by successful problem solving skills. 
Ability to multi-task

WAGES/BENEFITS:
Starting $24/hour per the current Administrative Assistant/Clerical master agreement.
