FUNCTION OF WORK:
 Provide secretarial support for an elementary school building serving as main contact person in a very fast paced setting office.  Primary responsibility is to serve as secretary to the building administrator.

  • Provides supervision and work coordination of other clerical staff in the same office and does related work as required.
  • Some work requires contacts with officials of the school system along with county/city officials and the handling of difficult, complex, and confidential matters.
  • Type letters, reports and other correspondence as needed.
  • Maintains records of internal reports & correspondence; establishes and maintains files of the same.
  • Type a weekly bulletin, monthly newsletter (Principals Principles), student handbooks, crisis manual, and school staff communication documents.
  • Maintain all student cumulative files and follow through with any requests made by other school districts or agencies according to local school district, state or federal guidelines and/or policies.
  • Collecting needed information for STAR reporting to send to system information specialist at Central Office – new hires and updating current hires.
  • Serve as financial secretary to manage and oversee building budget accounts.
  • Reports, tracks and resolves staff absences using the Frontline software system.
  • Maintain principal’s calendar with setting up meetings, trainings, teacher evaluations and classroom walk-thru.
  • Fill all pre-arranged absence requests with substitutes for entire building staff, including making substitute calls as directed.
  • Able to assist with problem solving coverage in substitute shortage situations.
  • Registration of new students:  Fax record requests to previous school, notify appropriate building and district persons of a new student, work with school counselor to schedule visit, enroll new student and set up schedule.
  • Approves ESS timesheets and ESS time off requests for building staff members on a bi-monthly basis for the district accountant.
  • Help maintain the district’s student information system (Infinite Campus) with the assistance of the district’s Information Specialist.  This may include assisting with attendance, sending out messages via “Messenger” and creating ad-hoc reports.
  • Sorts and distributes incoming and inter-school mail as needed.
  • Maintain building phone system, which involves keeping the voicemail current.
  • Operates a variety of standard and specialized office equipment, including a wide variety of computer technology including some minor maintenance on same as needed.
  • Knowledgeable with a variety of software programs and online platforms and able to use them effectively and efficiently.
  • Capable of taking initiative and following through on tasks as directed.
  • Assists in the preparation of meeting agendas, board documentation, and other tasks as directed.
  • Self-starter, competent writer and careful editing skills.
  • Daily student contact with writing out tardy slips and informing staff of early student dismissals.
  • Primarily responsible for ordering all office supplies as needed.
  • Assists with nursing duties daily for students as needed.
  • Establish and maintain successful working relationships with fellow employees, central and school-based staff, and the public, tactfully and courteously.  Willing to answer staff questions and find the answers if needed.
  • Maintaining online conference sign-up schedules.
  • Organizing school picture day and setting up the schedule.
  • Updates to building school webpage as needed.
  • Assist in the creation of new hire memos and permission to post memos.
  • Willing to assist with other duties as assigned.

Salary and Benefits
The starting pay for this position in 2025-2026 will range from  $23.61/ hr. – $25.87/hr. and is based on AFSCME Secretarial Contract.  Pay rate will be determined based on experience.
